Finding your profile

Click your avatar in the top-right corner of any page. Your profile slides in over whatever you were doing, so you never lose your place - close it and you are right back where you were.

The profile page itself is a small dashboard about you: tabs for your To do list, your Notifications, your Timesheets and Clocking, your KPIs, and a History of your recent changes. Along the top sit three buttons: Edit profile, Preferences, and Logout.

Edit profile: who you are

Edit profile is the "this is me" page:

  • Photo - upload a picture and crop it square. This becomes the avatar your colleagues see in the corner, in chat, and anywhere your name appears. A real face beats a grey circle.
  • About - a short line about yourself, up to around fifty characters.
  • Chat nickname - the short name shown in staff chat. If your username is long or formal, set something people actually call you.
  • Email and password - change either here whenever you need to. Pick a password of at least eight characters that you use nowhere else.

Locking the door properly

The same Edit profile page holds two extra layers of security. Both are optional; both are worth a minute:

  • Two Factor Authentication - flip the toggle and scan the QR code with an authenticator app on your phone. From then on, signing in needs your password and the six-digit code from your phone, so a stolen password alone gets nobody in.
  • Passkeys - let your device itself vouch for you, using the fingerprint, face unlock or PIN you already use. Add one per device you sign in from; the page lists them with when each was last used, and you can remove any you no longer recognise or use.

Preferences: how aiku looks and behaves

The Preferences button opens your personal settings:

  • Language - aiku speaks several languages; pick the one you think in and the whole interface follows.
  • Theme color - a row of ready-made colour schemes shown as little previews. Click one and the app changes instantly, for you only. Working in two organisations in two browser tabs? Give each a different theme and you will never confirm something in the wrong one.
  • Chat panel color - the staff chat panel has its own colour choice, separate from the main theme.
  • Hide logo - a toggle to tuck the logo away if you prefer a quieter screen.
  • Preferred printer - if your team prints labels or documents through aiku, choose the printer nearest your desk and print jobs go there without asking every time.
  • Your timezone - every date and time across aiku is shown in this timezone. It defaults to your organisation's, so you only need to touch it if you work from somewhere else - and then it is the difference between "the order came in at 9am" meaning your morning or someone else's.
